How do I know that my application has been received by Grants.gov?
Grants.gov will send two email notifications to the Institutional Rep to indicate application status:
- "Received" indicates that Grants.gov has received the application, but the application is awaiting validation. (sent to IR)
- "Validated" indicates
that Grants.gov has validated
the application and it
is available for the agency
to retrieve.
OR
- "Rejected with Errors" indicates that Grants.gov was unable to process your application because of an error(s) and cannot accept the application until you correct the errors and successfully resubmit the application. You will receive email notification with information on how to address the error(s).
How do I know if the granting agency has retrieved my application?
If your application is successfully validated and subsequently retrieved by the granting agency from the Grants.gov system, you will receive additional email(s)
- "Received by Agency" indicates that the agency has confirmed receipt of the application package.
- "Agency Tracking Number Assigned" indicates
that the agency has assigned
an internal tracking number
to your application. This
is the last status that
Grants.gov tracks. UPDATES BEYOND THIS MUST BE TRACKED WITH THE GRANTING AGENCY
Note: All agencies do not assign tracking numbers. If you do not see an agency tracking number, this does not imply that the agency did not receive or process your application. The assignment of tracking numbers is based on the policy of the particular agency.
It is important to maintain version control when you are correcting errors Identified by Grants.gov
The application was originally submitted from the Institutional Representative’s computer.
- Verify that you have the same version of the application the Institutional Rep submitted, If not get a copy of the submitted application
- Correct the errors, and send the corrected application to your Institutional Rep to submit again through Grants.gov.
- A new tracking number will be assigned to your application every time it is submitted through Grants.gov.
- Once Grant.gov accepts the application, the granting agency will retrieve it.
Each Granting Agency has a unique process for notifying you when your application has errors or is accepted.
- Most granting agencies send email notifications to the Institutional Rep to verify receipt and report errors that must be corrected.
- Keep in close contact with your Institutional Rep to monitor your application.
- Be proactive! Agencies will accept corrected applications up to a certain point. If you wait too long to check on your application, you might miss your opportunity to submit a corrected application.
Best Practice: If you have not heard from the funding agency within 3 days of submitting your application, call your Institutional Rep to check the status.
If your application is an NSF application , go to FASTLANE to retrieve your application. Correct the errors through FASTLANE. You do not need to address the error(s).
